Internal Accountant

Position Summary:
We’re looking for an Internal Accountant to take full ownership of our invoicing, payables, receivables, and job cost tracking. You’ll be the go-to person for making sure every expense is accurate and tied to the right job — keeping our books clean and our billing on point.

  • Monday to Friday | 8 PM to 5 AM Philippine Time
  • To follow Philippine holidays

Responsibilities:

Job Costing & Billing (Your Main Focus)

  • Pull completed jobs or work orders from Jobber and create invoices in Zoho Books.
  • Make sure all materials, subcontractors, rentals, and labor are included in every invoice.
  • Reconcile bank feeds, credit cards, and vendor bills, tagging each line item to the right job, phase, or cost code.
  • Maintain a clean Work-in-Progress (WIP) view and track margins per job.

Receivables

  • Send invoices promptly (same day or next day after job completion).
  • Manage A/R aging, follow up on collections, and post payments.
  • Track retainage, change orders, and deposits.

Payables & Purchasing

  • Perform 3-way matching: Purchase Order → Delivery Ticket/Photo → Vendor Invoice.
  • Schedule payments with cash flow awareness.
  • Keep vendor profiles up to date and monitor material pricing (e.g., copper, duct, fittings) using Zoho CRM automations.

Close & Compliance

  • Handle month-end close tasks: bank and credit card reconciliations, WIP updates, and sales tax filings.
  • Keep customer, vendor, and item lists organized and standardized.
  • Maintain consistent naming conventions for items and cost codes.

Qualifications:

  • 3+ years of accounting experience, ideally in construction or service-based industries.
  • Proficiency in Zoho Books or similar cloud accounting software is a plus.
  • Strong background in A/R, A/P, reconciliations, and WIP/job costing.
  • Advanced Excel or Google Sheets skills (lookups, pivots, formulas).
  • Excellent written communication and organizational skills.
  • Experience with or interest in the following is an advantage:
    • Zoho tools like Zoho Expense, Zoho Flow, Zoho Analytics, or light Deluge scripting.
    • Field service platforms such as Jobber.
    • CSV imports/exports, process automations (Zapier or Make), and dashboard creation.
    • Progress billing (AIA) and multi-tax jurisdictions.
