Virtual Assistant

Position Summary:

The Virtual Assistant will play a key role in supporting the day-to-day operations of our client. This role requires excellent judgment, strong technical proficiency, and the ability to handle confidential information with discretion. The right candidate will have experience working with executives, preferably in HR or consulting environments, and will bring an entrepreneurial spirit — someone who anticipates needs, takes initiative, and solves problems independently without requiring daily direction.

Job Details:

  • Work from Home
  • Monday to Friday | 9 PM to 6 AM or 10 PM to 7 AM (Manila time)
  • Following PH Holidays

Responsibilities:
Executive & Administrative Support

  • Serve as right-hand support to the CEO, managing calendars, priorities, and inboxes.
  • Anticipate needs, prepare documents or research proactively, and follow through with minimal oversight.
  • Draft, proofread, and format correspondence and presentations in a polished, client-ready manner.
  • Coordinate meetings, appointments, and logistics across multiple clients and consultants.

Operations & Document Management

  • Organize and maintain electronic filing systems in SharePoint/OneDrive.
  • Apply and enforce PeopleWiseHR file naming and version control standards.
  • Format and prepare HR deliverables, policies, and reports for client distribution.
  • Track and manage internal project deliverables using Microsoft Planner/Lists.

Research & Project Coordination

  • Conduct research on HR compliance topics, industry benchmarks, and best practices.
  • Summarize findings into clear, actionable briefs for CEO/CR Manager.
  • Coordinate with consultants and vendors to ensure timely updates and document flow.

Marketing & Content Support (as needed)

  • Assist with branded decks, training materials, and consultant toolkits.
  • Support social media scheduling (LinkedIn focus) and light Canva/PowerPoint design.

Qualifications:

  • Strong written and verbal English communication skills.
  • 3–5 years’ experience as a Virtual Assistant, Executive Assistant, or HR Administrative Assistant.
  • Proven experience supporting C-suite executives in a fast-paced environment.
  • Exposure to or direct experience in HR/consulting environments strongly preferred.
  • Highly resourceful, independent, and able to anticipate needs rather than wait for direction.
  • Entrepreneurial mindset: proactive, solution-oriented, and comfortable working in a growing business.
  • Proficiency in Microsoft 365 (Outlook, Teams, SharePoint, OneDrive, Planner/Lists)
  • Familiarity with Canva, PowerPoint, and project management tools.
  • Ability to manage sensitive and confidential information with absolute discretion.
  • Experience in QuickBooks Online is a plus.
