Document Processing Clerk

Position Summary:

We are seeking a detail-oriented and organized Document Processing Clerk for a fixed-term position to manage the digitization of 201 files. This role involves scanning, uploading, tracking, and verifying documents to ensure accurate and efficient digital record-keeping. The ideal candidate will have strong attention to detail and proficiency in digital document management.

Job Details:

  • Bridgetowne, QC (onsite)
  • Monday to Friday | 8 AM to 5 PM Manila Time.
  • The shift schedule may be adjusted as needed.
  • 3 months fixed term | PHP 610/day

Responsibilities:

  • Scanning: Operate our scanning equipment to convert physical documents into digital formats. Ensure high-quality scans with clear resolution and legibility.
  • Uploading: Upload scanned documents to the designated digital storage system. Organize files according to established naming conventions and folder structures.
  • Tracking: Maintain an accurate log of scanned documents. Update trackers to reflect progress and completion.
  • Verification: Review scanned documents to ensure accuracy and completeness. Cross-check digital files with physical files to confirm correct digitization and address any discrepancies.
  • 201 File Completion: Assist in the completion and/or retrieval of files from employees to ensure all missing documents are collected.
  • Reporting: Provide updates on progress, including any issues encountered during the digitization process. Prepare reports summarizing completed work and any challenges faced as needed.

Qualifications:

  • Education: High school diploma is required.
  • Experience: Minimum of 6 months work experience in document management, scanning, photocopying and data entry.
  • Technical Proficiency: Familiarity with scanning equipment and digital storage systems such as Dropbox.
  • Organizational Skills: Excellent organizational and time-management skills to handle multiple tasks efficiently and meet deadlines.
  • Document Tracking: Strong attention to detail and accuracy in tracking documents.

Implementation Builder

Position Summary:

The Implementation Builder will play a crucial role in ensuring our customers are seamlessly onboarded onto the Client’s platform. Working closely with the Implementation Specialists, you will be responsible for accurately entering customer data and configuring platform settings per the specifications given to you from the assigned Implementation Specialist. Your attention to detail and organizational skills will be key to helping our customers get up and running smoothly.

Responsibilities:

  • Data Entry: Ensure accurate and efficient entry of customer data into the Client's platform.
  • CRM Management: Maintain thorough and organized notes within our CRM (Hubspot), ensuring data hygiene and up-to-date customer records.
  • Platform Configuration: Assist in configuring customer settings within the Client's system to tailor the platform to their specific needs.
  • File Conversion: Manipulate and convert customer files (e.g., CSVs, PDFs) into formats compatible with the Client's systems.
  • Collaboration: Work closely with Implementation Specialists to configure customer accounts through the onboarding process.

Qualifications:

  • Experience: Previous experience in data entry and working with CRM systems like Hubspot or similar.
  • Technical Skills: Proficiency in converting files into CSV formats for import into software platforms.
  • Organizational Skills: Highly organized with a strong ability to take detailed notes and manage multiple tasks simultaneously.
  • Attention to Detail: A keen eye for detail, ensuring accuracy in data entry and file conversions.
  • Time Management: Efficient time management skills, with the ability to prioritize tasks and meet deadlines.
  • Industry Knowledge: Familiarity with the roofing or construction industry is a plus, but not required.

Position Summary:

The primary role of the Billing Administrator is to support Project Managers (PMs) and General Contractors (GCs) by accurately tracking finances and managing invoices.

Job Details:

  • Work from Home or Work Onsite - Bridgetowne, QC
  • Monday to Friday | 9 PM to 6 AM Manila time (Night Shift)

Responsibilities:

  • Assist in tracking and balancing revenues and expenses for every job generated.
  • Track all internal, subcontractors and pass-through revenue.
  • Track all internal and subcontractor invoices.
  • Daily status reporting on funding.
  • Quality control all internal and subcontractor invoicing.
  • Assists in reviewing all invoices for appropriate documentation and approval prior to payment.
  • Participate in a wide variety of special projects and compile a variety of special reports.
  • Conform with and abide by all regulations, policies, work procedures, and instructions.
  • Special projects- reports, filing, research, etc.
  • May provide backup support and assistance to other project coordinators.
  • Any and all other duties as assigned.

Qualifications:

  • 1-3 years Billing Admin experience.
  • Construction/ telecommunication knowledge preferred.
  • Proven strong analytic/problem solving/arithmetic skills.
  • Highly organized person and can show planning and processes to support daily work.
  • Proficient with Microsoft Office products (with emphasis on Excel).
  • Experience working with database software.
  • Ability to become proficient with customer “Host Systems” as required.
  • Practical and conceptual thinking as related to project descriptions and needs.
  • Excellent verbal, written, and interpersonal skills.
  • Communicate with co-workers, management, customers and vendors in a courteous and professional manner.
  • Ability to work on multiple projects at once.
