Lease Abstractor

Job Summary

The Lease Abstractor is responsible for all aspects of lease administration, including lease abstraction, quality review, and portfolio management. This role ensures the accurate and efficient processing of lease data records and fulfills reporting requirements. The Lease Abstractor may work independently or as part of a team to maintain the integrity and accuracy of lease information within the organization's database.

Job Details:

  • Hybrid Setup | 3 days Onsite & 2 days WFH – Eastwood Libis, QC
  • Monday to Friday | 6 AM to 3 PM (Manila time)

Responsibilities:

  • Lease Data Management
    • Extract essential data from real estate lease documents, including terms, conditions, financial details, and key dates.
    • Input extracted lease information into the system database, adhering to established standards and protocols.
    • Maintain the lease database by updating records when leases or subleases are amended, new locations are added, leases expire or are terminated, or properties are acquired or sold.
  • Quality Assurance
    • Conduct thorough quality reviews of lease data abstraction to ensure accuracy and completeness.
    • Flag discrepancies for additional review and collaborate with team members to resolve outstanding data issues.
    • Ensure all data meets organizational quality standards and compliance requirements.
  • Portfolio Management
    • Continuously maintain and manage the lease portfolio to ensure all records are current, properly categorized, and easily accessible.
    • Monitor lease expiration dates and other key milestones to proactively address renewals or terminations.
  • Reporting
    • Prepare and deliver accurate lease reports as required by management or other stakeholders.
    • Ensure all reporting outputs are correctly formatted, timely, and adhere to organizational standards.
  • Database Maintenance
    • Continuously update and maintain the lease database to ensure all information is current and properly categorized.
    • Perform regular audits of the database to ensure data integrity and accuracy.
  • Collaboration and Communication
    • Work effectively within a team environment, sharing knowledge and assisting team members as needed.
    • Communicate with internal departments and external parties to gather necessary lease information and resolve issues.
  • Compliance and Best Practices
    • Ensure all lease administration practices comply with company policies and relevant legal regulations.
    • Stay updated on industry best practices and incorporate them into lease administration processes.

Qualifications:

  • Bachelor’s degree in Business Administration, Finance, or a related field is preferred.
  • At least 2 years experience in lease administration, real estate, or a similar role.
  • Familiarity with lease abstraction and data management processes.
  • Exceptional attention to detail and accuracy in data entry and analysis.
  • Strong analytical and problem-solving abilities.
  • Proficiency in using lease management software and Microsoft Office Suite.
  • Excellent organizational and time management skills to handle multiple tasks and deadlines.
  • Effective written and verbal communication skills.
  • Ability to work independently and collaboratively within a team.

Estimator

Position Summary:

We are looking for an experienced Estimator with a strong background in landscaping or civil construction to join our dynamic team. The ideal candidate will have expertise in quantity takeoffs, a solid understanding of landscaping plans, and proficiency with Bluebeam Revu software. You will play a crucial role in preparing accurate and competitive estimates for various landscaping projects.

Key Responsibilities:

  • Quantity Takeoffs:
    • Perform detailed quantity takeoffs from landscaping and civil construction plans using Bluebeam Revu.
    • Accurately measure and quantify all materials and labor required for projects.
  • Estimating:
    • Build comprehensive bills of quantities using Benchmark Estimating Software (training will be provided).
    • Collaborate with the Senior Estimator to review and verify quantity takeoffs and cost estimates.
    • Assist in preparing competitive and accurate project estimates within designated timeframes.
  • Plan Analysis:
    • Interpret and understand project plans, specifications, and scope of work.
    • Identify all elements required for accurate estimating, including materials, labor, equipment, and subcontractor costs.
  • Communication:
    • Prepare and send email requests for quotations to suppliers and subcontractors.
    • Follow up on quotations and update estimates accordingly.
    • Maintain clear and professional communication with internal team members and external partners.
  • Documentation:
    • Organize and maintain records of all estimates, takeoffs, and associated documents.
    • Ensure all documentation is accurate and easily accessible for future reference.
  • Process Improvement:
    • Provide feedback on estimating processes and suggest improvements to enhance efficiency and accuracy.

Qualifications:

  • Education & Experience:
    • Minimum of 2 years of experience as an Estimator in the landscaping or civil construction industry.
    • Strong understanding of landscaping construction methods, materials, and industry practices.
  • Technical Skills:
    • Proficiency in Bluebeam Revu software for digital takeoffs is essential.
    • Experience with estimating software; familiarity with Benchmark Estimating Software is a plus (training will be provided).
    • Proficient in Microsoft Office Suite, particularly Excel.
  • Competencies:
    • Excellent attention to detail with a high level of accuracy in preparing estimates.
    • Strong analytical and mathematical skills.
    • Ability to interpret technical drawings and specifications.
    • Effective time management skills with the ability to prioritize tasks and meet deadlines.

Construction Estimating Training Consultant

Position Summary:

We are seeking an experienced Construction Estimating Training Consultant to lead the development and implementation of training and quality assurance processes for our clients, particularly within the commercial construction industry. This role involves close collaboration with internal teams and clients to understand current estimating, project management, and quality processes, providing guidance, training, and continuous support to ensure smooth transitions and high-quality service delivery. The ideal candidate will have a strong background in cost estimating, exceptional communication skills, and a passion for training and process improvement.

Job Details:

  • Monday to Friday | 9 PM to 6 AM (may change depending on the client’s needs)

Responsibilities:

  • Lead the training and quality assurance process, ensuring teams are well-prepared for transitions and understand vital operational processes.
  • Collaborate with clients to review and understand their existing estimating, project management, and quality standards, proposing necessary improvements.
  • Develop and deliver customized training modules related to cost estimating, project management workflows, and quality standards to ensure a smooth transition and consistency in service delivery.
  • Serve as the primary point of contact during the transition phase, providing continuous support, guidance, and troubleshooting to both internal and client teams.
  • Monitor and assess the quality-of-service delivery throughout and after the transition, ensuring compliance with established protocols and identifying areas for enhancement.
  • Conduct regular audits and reviews to ensure alignment with client expectations and internal quality standards, providing feedback and recommendations for improvement.
  • Collaborate with client departments (Training, Quality, Operations) to update training materials in response to evolving needs and feedback during the transition phase.
  • Provide ongoing performance coaching and feedback to internal teams, ensuring consistent achievement of quality metrics.
  • Identify training gaps and develop solutions to ensure both new and existing employees are fully equipped to meet the organization's and client’s needs.

Qualifications:

  • Bachelor's degree in Construction Management, Engineering, Business, or a related field (preferred but not required).
  • At least 2 years of experience as a construction estimator.
  • Strong understanding of cost estimating processes in commercial construction, including material quantity takeoffs and familiarity with tools like Bluebeam or PlanSwift.
  • Experience in developing and delivering training programs within a business-to-business (B2B) environment is preferred.
  • Excellent communication and presentation skills, with the ability to clearly explain complex concepts to diverse audiences.
  • Strong analytical and problem-solving skills, with keen attention to detail and a focus on process improvement.
  • Ability to collaborate with cross-functional teams and manage multiple priorities in a fast-paced environment.
